Purpose of the Job

To support supervisors and provide comprehensive and administrative support

Key Accountabilities Performance Indicators

  1. Provide organizational, secretarial, administrative and filing assistance, exercising discretion in dealing with matters of utmost sensitivity and critical importance.
  2. Manage meetings and take minutes, visits and regular liaison with internal and external stakeholders.
  3. Control and manager diaries, preparing/ notifying the above mentioned heads for matters requiring attention.
  4. Arrange appointments, travel and accommodation itineraries, visa under own initiative. Organize a wide range of meetings and functions.
  5. Monitor progress and ensure actions, paperwork are co-ordintated in prepartion for meetings/ deadlines in prepartion for meetins/ deadlines.
  6. Act upon telephone calls according to urgency and importance referring to supervisors wherever necessary.
  7. Act as host/ greeter for clients on visits, provide hospitality as required, conveying a professional image in support of managers.
  8. Manage reimbursements and claims for supervisors.
  9. Undertake Projects and assignments as advised by supervisor.
